Role:
The Client Onboarding Associate supports the New Business team by ensuring every client’s onboarding process is smooth, accurate, and professional. You will assist with CRM management, financial application tracking, client appointments, and assets under management (AUM) processes.
This role is perfect for someone with strong attention to detail, excellent organizational skills, and a passion for client service who wants to grow within a boutique yet resource-backed wealth management firm.
Responsibilities:
Assist New Business appointments with Financial Planners, Insurance Specialists, Third Party Managers, and Annuity Processing Managers.
Update CRM with statuses, meeting outcomes, advisor instructions, and other key data.
Enter new account information, notes, and documentation into CRM and financial trackers.
Schedule and confirm client appointments via phone and text.
Greet clients and ensure a professional experience during meetings with advisors.
Complete audit calls and follow-up on New Business Tracker progress.
Update financial planning tools (e.g., Retirement Analyzer, WealthScape, Riskalyze) before and after client meetings.
Manage all necessary financial trackers and ensure accurate client information.
Complete AUM processes for new applications, including drafting agreements, handling Transfers of Assets (TOA), Standard Payment Instructions (SPI), and Add Advisor forms.
Assist clients with signing AUM applications and ensure accuracy.
Open accounts in Fidelity, complete account allocations, rollovers, and transfers.
Follow advisor instructions based on meeting outcomes and ensure timely follow-up actions.
Send meeting recaps to clients.
Always put the client’s best interest first.
Stay informed on industry regulations, compliance, and tax law changes.
Pursue ongoing education to enhance financial knowledge.
Support ongoing New Business projects as assigned.
Requirements:
1+ years of experience in wealth management, financial services, or related roles.
Preferred licenses: SIE and 2-15 (sponsorship available).
Strong background in finance or wealth management, with knowledge of annuities, life insurance, and investment accounts.
Bilingual in English and Spanish preferred (verbal and written).
Exceptional attention to detail and data accuracy.
Excellent interpersonal skills with the ability to build rapport and trust with clients.
Self-motivated, proactive, and eager to learn and grow.
Tech-savvy, with proficiency in CRM systems and financial tracking tools.

Schedule:
Full-time role based in Miami, FL.
Standard weekday schedule with occasional flexibility as needed for client appointments.
Compensation:
$50,000–$65,000 Annually (Base Salary + Performance Incentives)
